Terms and Conditions Apply



1. Vendor Responsibilities:

a. Only
canopy, table and chairs will be provided by organizer. Vendors are responsible
for providing their own display booth and any additional equipment or signage
needed for their setup.
b. Vendors
must ensure that their products and displays are appropriate for all ages and
comply with all local laws and regulations.
c. Vendors
must maintain a clean and organized booth space throughout the event.
d. Vendors
are responsible for their own insurance coverage for their products, equipment,
and liabilities.

2. Payments, Cancellations and Refunds:

a. Vendor fees must be paid in full at the time of registration.
b. Vendors
who cancel their participation 1 month prior to event will receive a 65% refund
of their vendor fee after three weeks of event’s conclusion.
c. No refunds
will be provided for cancellations made after cancellation deadline.

3. Conduct and Compliance:

a. Vendors
must conduct themselves in a professional and respectful manner towards event
attendees, staff, and other vendors.
b. Any
violations of local laws or regulations by vendors will result in immediate
expulsion from the event without a refund.
c. Vendors shall also refrain
from engaging in any negative or disparaging behavior or comments about the
event, its organizers, volunteers, or fellow vendors on social media platforms
before, during, or after the event.
d. Vendors should not conduct or
promote any illegal, harmful or dangerous activities, or be found in
possession of any drugs, alcohol,
or weapons. If any vendor is found doing so they
will be removed from the event
and face serious consequences;

4. Promotion and Marketing:

a. Vendors
are encouraged to promote their participation in Winter Fest 2023 through their
own marketing channels.
b. Vendors
must obtain permission from The Innovators Karachi for any promotional
activities that involve the event’s name or branding.

5. Liability:

a. The
Innovators Karachi is not responsible for any loss, damage, or theft of vendor
products, equipment, or personal belongings.
b. Vendors are responsible for their own liability insurance
and any claims or issues arising from their participation in the event.

6. Termination of Agreement:

a. The
Innovators Karachi reserves the right to terminate this agreement and expel any
vendor from the event for any violation of these terms and conditions.

7. Booth Space Allocation:

a. Vendors are allocated specific booth spaces as indicated in the
registration form.
b. Vendors agree not to exceed the designated booth space provided to
them during the event.
c. Any attempt to expand beyond the allotted space without prior
written approval from The Innovators Karachi may result in penalties, eviction
from the event, or other appropriate actions.
d. Vendors must maintain the integrity of their assigned spaces and
ensure that their displays, products, and equipment do not encroach upon
neighboring vendor spaces

8. Force Majeure:

a. In the
event of any natural calamity, including but not limited to extreme weather
conditions, earthquakes, floods, or any other unforeseen circumstances that may
jeopardize the safety of event attendees, participants, or the feasibility of
conducting Winter Fest 2023, The Innovators Karachi reserves the right to
postpone the event to a later date.
b. In such a
case, The Innovators Karachi will make reasonable efforts to notify vendors of
the postponement as soon as possible.
c. Vendors
acknowledge that the postponement of the event due to force majeure is beyond
the control of The Innovators Karachi, and as a result, no refunds will be
issued for vendor fees or expenses incurred by vendors in relation to the
event. Vendors may be offered the opportunity to participate in the rescheduled
event without incurring additional fees.

9. Mandatory Lucky Draws and Giveaways for
Audience Engagement:

a. The
organizer, The Innovators Karachi, requires all vendors to participate in lucky
draws during the event for the purpose of audience engagement and enhancing the
overall event experience.
b. Vendors
are obligated to contribute a minimum of two products, each with a minimum
retail value of PKR 1000/-, to be used as prizes in these lucky draws.
c. The
management of the event will oversee the conduct of the lucky draws to ensure
fairness and transparency.
d.
Participation in the lucky draws is mandatory for vendors, and they will be
informed of their participation and prize contribution requirements in advance.
By submitting the form below, the vendor acknowledges that
they have read, understood, and agree to abide by the terms and conditions
outlined in this agreement.
